FAQ
Straight answers.
The questions we actually get. Anything missing, ask a person.
Seats, guests and spaces
What counts as a seat?+
Admins and members: the people doing the work. A pending invitation holds a seat from the moment it's sent (otherwise limits would mean nothing), and gives it back if it's declined or revoked. Guests never count.
Who counts as a guest, and what do they see?+
Anyone you invite as a guest, typically your clients. A guest sees the space you put them in and nothing else: no other clients, no internal tasks, no files. Guests are free on every plan, with no cap.
What happens to a client space when the work ends?+
Archive it. Archived spaces keep their full history, stop cluttering the sidebar, and don't count toward any limit. You pay for the clients you're working with, not the ones you've finished with.
How do I get more seats?+
On Pro and Business, invite the person: the seat exists because they do, and the invoice follows your roster (additions are prorated from the day they join; removals credit at your next renewal). On Free you have five; the sixth person is the moment to upgrade.
The AI teammate and your data
Which AIs work with Next Level?+
Claude, ChatGPT, Cursor, and any assistant that speaks MCP, an open standard. You connect your own assistant from the Connectors page; it acts as you, under your permissions, and every action it takes is labelled as AI-made in the task history.
What can the AI read, and what can it never read?+
It reads what the person who connected it can read: team-visible tasks, comments and files. It can never read private files (those are owner-only and excluded from AI by rule), never see spaces it wasn't invited to, and guests get no AI file access at all. It also can't approve work, set client-facing flags, or delete things.
Where does my data live?+
Frankfurt, Germany: the application, the database and file storage all run in EU data centres. Uploaded files are stored on our infrastructure; linked files (a Drive or Dropbox URL) stay wherever they already live.
Can other workspaces ever see my data?+
No. Isolation is enforced by the database itself, not just the application: every query is walled to your workspace, which we verify with an automated test suite across every table. One workspace cannot read another's rows even if the application has a bug.
Can I delete everything?+
Yes. Deleting a workspace gives you a 30-day window to change your mind, then everything is permanently erased, including the files themselves. An admin can also delete it immediately; permanent means permanent.
Beta, billing and accounts
How do I get in?+
Next Level is in private beta: you need an access code, which comes from us. Join the waitlist and you'll get one email when it's your turn. Have a code already? Create your workspace.
What does the beta cost?+
Nothing. Every beta workspace runs with full access while billing is being finished. When paid plans switch on, you'll choose one; nothing is charged retroactively.
What happens if my card declines later?+
Nothing dramatic. Your access continues while the card is retried over the following days; you'll see a payment-failed notice in the app and get emails about it. Only if it never recovers does the workspace drop to the Free plan's limits. Your data is never deleted over a failed payment.
Can I downgrade or cancel?+
Yes, from your workspace's billing settings. Before a downgrade applies, the app checks you fit the smaller plan and tells you exactly what to reduce if you don't (seats, active spaces, storage). Downgrades take effect at the end of what you've paid for; cancelling means dropping to Free, with your data intact.
